The Old Barn 1844 – Booking Terms and Conditions

 

1. Definitions

In these Terms, “we”, “us”, and “our” refer to The Old Barn 1844. “You” and “your” refer to the lead guest making the booking. “Property” refers to The Old Barn 1844, Lapworth, Warwickshire, B94 6AU.


2. Booking and Payment

Your booking is not confirmed until we send you written confirmation by email. At that point, a binding contract will exist between you and us.

To secure your booking dates, we require a 25% non-refundable booking deposit at the time of booking. By paying the deposit, you confirm you have read and accepted these Booking Terms and Conditions.

The remaining balance must be paid in full no later than 14 days before arrival. For bookings made within 14 days of arrival, full payment is due at the time of booking.

The lead guest is responsible for ensuring that all members of the booking party comply with these Terms and Conditions.


3. Refundable Security Deposit (Damage Deposit)

A refundable security deposit of £2,000 is required in addition to the rental amount. This is held as security against breakages, damage, excessive cleaning, missing items, breach of house rules, or unauthorised additional guests.

The security deposit is payable no later than 7 days before arrival, unless agreed otherwise.

We will inspect the Property after departure and will return the security deposit within 7 days, less any deductions in line with these Terms.

Where deductions are required, we will provide evidence where reasonably available, such as photographs, receipts, or invoices.

If the cost of damage or losses exceeds the security deposit, you agree to pay the outstanding amount within 7 days of being notified.


4. Cancellations by You

If you cancel your booking, you must notify us in writing. Cancellation charges are as follows:

More than 30 days before arrival: 25% deposit retained.
Within 30 days of arrival: 100% of the total booking cost payable.
 

If we are able to re-let the cancelled dates, we may offer a discretionary refund of some of the amounts paid, minus the deposit and any costs incurred. However, this is not guaranteed, and any refund is entirely at our discretion.

We strongly recommend you take out holiday cancellation and travel insurance at the time of booking.


5. Cancellations by Us (Force Majeure)

In the rare event we must cancel your booking due to circumstances beyond our control, we will offer either a full refund or alternative dates, subject to availability. No compensation or liability will be payable for any additional costs you incur (such as travel or alternative accommodation).

Circumstances beyond our control include (but are not limited to) fire, flood, extreme weather, natural disaster, epidemic or pandemic, government restrictions, significant utility failure, or any other event which prevents the Property being safely occupied.


6. Check-in and Check-out

Check-in is from 3:00pm. Check-out is by 10:00am. Early check-in and late check-out may be available by prior arrangement and at an additional charge, subject to availability.


7. Maximum Occupancy

The maximum occupancy is 6 guests. Only the guests named at the time of booking may stay. No additional overnight guests are permitted without our written approval.


8. Use of the Property

You agree to use The Old Barn 1844 for holiday accommodation only. Parties, events, and gatherings are not permitted.

You agree to keep the Property, furnishings, and outdoor areas in a good, clean condition and to leave the Property in a broadly tidy state on departure.


9. Noise and Respect for Neighbours

The Old Barn 1844 is in a residential area, and we operate a strict policy to ensure a peaceful environment. Quiet hours are from 10:00pm to 8:00am. Any behaviour likely to cause nuisance may result in termination of the booking without refund, following a reasonable opportunity to comply (unless immediate termination is justified).


10. Smoking, Vaping and Candles

Smoking and vaping are not permitted inside the Property. Any evidence of smoking indoors will result in an additional cleaning charge.

Candles and naked flames are not permitted, unless expressly provided and approved by us.


11. Pets

No dogs or other pets are permitted.


12. Parking

Parking is available for two cars. Vehicles are parked at your own risk.


13. Additional Services

Any additional services requested are charged separately and are subject to availability.


14. Liability

You are responsible for your own safety and the safety of all guests staying at The Old Barn 1844. We accept no responsibility for loss, injury, accident, damage, or theft of personal belongings, except where caused by our negligence.


15. Damage, Breakages and Missing Items

You must report any accidental damage or breakages as soon as possible. We understand accidents happen, but failure to report may result in charges.

You will be liable for the cost of repair, replacement, or specialist cleaning for any damage caused during your stay, including staining, burns, chipped surfaces, damaged furniture, and any damage to outdoor areas.

If the cost of damage exceeds the security deposit, you agree to pay the additional amount within 7 days of notification.


16. Cleaning and Additional Charges

Your stay includes standard cleaning. Additional charges may apply for:

Excessive cleaning required beyond normal use,
Stains to soft furnishings or floors,
Excessive rubbish left behind,
Unwashed dishes or kitchen mess,
Odours (including smoke), or
Leaving the Property in an unreasonable condition.
 

17. Lost Keys

Lost keys may incur a charge for replacement and, where required, changing locks.


18. Complaints

If you have any issue during your stay, you must contact us as soon as possible so we can try to resolve it. We cannot consider complaints raised only after departure.


19. Privacy

We will use your personal information only for managing your booking and to comply with legal obligations. We will not share your information with third parties except where required by law or where necessary to manage your stay.

A full Privacy Policy will be made available in due course.


20. Guest Handbook and Accessibility

A Guest Handbook will be provided at the Property. This includes important health and safety guidance, appliance instructions, emergency contacts, and local information.

Please note: The Old Barn 1844 is a historic building and features uneven surfaces, low beams, small steps, and a staircase leading to the mezzanine bedroom. It may not be suitable for guests with limited mobility or specific health requirements.

It is your responsibility to assess whether The Old Barn 1844 is suitable for your individual access or health needs prior to booking.


21. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
